Creating a small Automation MVP: How to do it?

Implementing automation in a company doesn't have to be a big revolution. In fact, it shouldn't be. Major changes often end in resistance, mistakes, and wasted time. Therefore, a much better approach is to start with a small, specific, and measurable project – the so-called MVP, or Minimum Viable Process.

Why is it worth starting with an MVP?

Instead of automatically implementing a large system across the entire company, it's better to:

  • see how automation works in practice,

  • get feedback from employees,

  • quickly notice what doesn’t work before you scale,

  • have real results to show to management or clients.

It’s like making a demo version before the full movie.

How to choose a topic for an MVP?

Choose one specific, small, but annoying problem. Something that:

  • happens regularly (e.g., daily or weekly),

  • takes time but is not very complicated,

  • can be easily described in a few steps,

  • can be automated using one tool.

Examples of good MVPs:

  • automatically generating and sending a sales report once a week,

  • automatic reminders for unpaid invoices,

  • a chatbot answering the 5 most common customer questions,

  • passing leads from the form on the site directly to the CRM.

Stages of creating an MVP

1. Describe the manual process – step by step

Keep it simple: who does what, when, where. Use real examples.

2. Consider: which steps can be automated?

You don’t have to automate the entire process – maybe just one part to start?

3. Choose a tool that enables this

Preferably something you already know or has a low entry threshold (e.g., Zapier, Make, ChatGPT, Google Sheets).

4. Technical implementation of the MVP

Do it yourself or with the help of someone technical – the important thing is that it’s simple and works.

5. Test for a few days or weeks

Gather observations: does it work correctly? Does it really save time? Does anyone on the team have feedback?

6. Measure the effect

How many minutes, hours, errors were avoided? What are the users’ opinions?

Remember: MVP = working minimum

It's not about creating a "near-perfect" solution. It's about creating a simple, useful, ready-to-use minimum that can be developed further.

And very importantly: the MVP doesn’t have to look beautiful. What matters is function, not form.

  • you copy the approach to another process in the company,

  • you collect the results and present them to the team or management as tangible proof that it makes sense.
