Before you automate anything or implement AI, you need to answer one fairly simple (but important!) question: **Why are we doing this?** Sounds trivial? Sure. But many companies start with tools rather than with a purpose. The result? A lot of "innovations" that complicate work instead of improving it. Step One: Do Not Automate Chaos

This is the basic principle: if you have disorganized, inconsistent processes in your company – automating them won't help. On the contrary, it may accelerate the mess.

So before you turn on any tools, check:

  • What does the current process look like step by step?

  • Who is responsible for what?

  • Where do mistakes, delays, and frustrations most often occur?

Only when you have a clear picture of what works and what doesn't work, can you plan for automation.

Real Needs vs. Apparent Problems

Not every difficulty in the company means you need AI. Sometimes a simple tool, better communication, or a different allocation of tasks is enough. That's why it's worth asking yourself a few questions:

  • Do we have processes that are time-consuming and repetitive?

  • Do errors occur due to “manual work”?

  • Do customers complain about slow service or lack of information?

  • Are employees wasting time on tasks that do not add value?

If the answer to any of these questions is “yes” – you have a starting point for automation.

Identify Areas with the Greatest Potential

You don't have to automate everything at once. Just start with one specific area that:

  • generates costs (time or financial),

  • causes errors, delays, or dissatisfaction,

  • can be relatively easily standardized.

The most common “candidates” for automation in companies are:

  • customer service (emails, inquiries, chats),

  • invoicing and documents,

  • collecting and processing data (e.g., reports),

  • onboarding clients or employees,

  • marketing (mailings, social media, campaigns).

Engage the Team

This is not a task just for the business owner or the IT department. The best insights into what really works and what hurts come from the people who carry out these processes every day.

It's worth:

  • talking to employees from different departments,

  • asking about “pain points,”

  • requesting suggestions for what can be simplified.

This way you will avoid mistakes and resistance when implementing changes – because the team will be part of the solution, not its victim.

Define the Goal

Every automation should have a specific goal. Examples?

  • “We want to reduce customer service time by 30%”

  • “We want to minimize data errors”

  • “We want employees not to have to manually create reports every week”

The more measurable the goal, the easier it is to assess whether the automation paid off.
