How to integrate Automatyzacja with existing processes?

Automation should not be like a new piece of furniture that doesn't fit with the rest of the room. Its goal is to blend in with what already works – and gently improve what is lacking. In this chapter, I will show you how to make automation not an "add-on beside" but a natural part of daily work. Without chaos, stress, and the constant "What if it breaks?".

Automation cannot live in isolation

Even the best-built solution won't help if:

  • people do not know it exists,

  • no one knows how to use it,

  • it does not cooperate with other systems.

Therefore, before you announce the success of the implementation, ensure that the new solution is part of a larger whole – that is, your daily processes, systems, and habits within the company.

Step 1: Map the process “before and after”

Make a simple comparison:

  • What did the process look like before automation?

  • Where did it start, what happened in order, who was involved?

  • What changed after the implementation of automation?

This will allow you to:

  • see potential “dead points,”

  • ensure that you do not overlook anything,

  • explain to the team more easily what exactly has changed.

Step 2: Integrate automation into existing tools

Do not make people open a new application just to see what happened.

Example:

  • If the team uses Slack – let automatic notifications also come there.

  • If you are using Excel or Google Sheets – let the data from automation go directly to these files.

  • If CRM is the operational hub – ensure that data from AI and automation is available there.

Automation should support work – not distract from it.

Step 3: Provide clear instructions and a “contact point”

Do not assume that everyone will figure out what and how it works. For each new automation, prepare:

  • a simple description: what it does, when, for whom, where the data goes,

  • instructions: what the user must (or must not) do,

  • a contact person: “If something is not working, write to Ania” – this provides peace of mind.

It is also good to have a short training or presentation – even 15 minutes. This often makes a huge difference.

Step 4: Observe reactions and adjust

After implementation, it is worth observing for a few days or weeks how people use the automation:

  • Are they actually using it?

  • Are they reporting problems, or are they rather pleased?

  • Does the new process inadvertently create new “workarounds”?

This is the stage where it may turn out that something needs to be adjusted slightly:

– e.g., change the timing of email dispatches,

– simplify the message in the chatbot,

– add one step to the flow.

This is not a failure – it is a normal integration stage.

Step 5: Give the new process “everyday status”

At some point, the new automation stops being “new.” And that's good.

A good practice is to:

  • integrate it into company documentation or procedures,

  • assign responsibility (who checks if everything works),

  • add it to the onboarding of new employees (e.g., “here reports generate by themselves”).

This is the moment when automation truly enters the company – as something that simply works in the background.
