It's like renovations – you don't start with painting the ceiling if the roof is leaking. Therefore, in this chapter, I will show you step by step how to recognize the areas with the greatest potential for automation.

Start with observing daily work
The first (and often most effective) way to find areas for automation is… simply observing what happens in the company every day. Pay attention to:
repetitive tasks (e.g., daily reports, issuing invoices),
manual activities (e.g., copying data from one system to another),
moments when employees are "running in circles",
things that "everyone knows are troublesome, but no one changes them".
Write it down. Even on a piece of paper. Just this exercise can open your eyes.
Most common areas to consider
In practice, most companies start with automation in a few specific departments. Here are the most popular ones:
1. Customer service
automated responses to frequently asked questions (FAQ),
chatbots on the website,
ticketing systems (for submissions and tracking).
2. Marketing and sales
automated email campaigns,
reminders for abandoned carts in the store,
lead synchronization between the website and the CRM.
3. Finance and accounting
automated invoice generation,
sending payment reminders,
reporting revenues and expenses.
4. HR and onboarding
automated preparation of documents for new employees,
reminders for medical examinations,
collecting candidate data through forms.
5. Internal operations

How to assess what is worth automating?
Not everything is suitable for automation right away. Here is a simple filter you can apply:
✔ Repetitiveness
Is the task performed regularly – daily, weekly, monthly?
✔ Time consumption
How many hours does this task take monthly? The more – the better candidate for automation.
✔ Human errors
Are there often mistakes, e.g., due to inattention, fatigue, or unclear procedures?
✔ Dependency on people
Is the task delayed when someone is on vacation or sick leave?
✔ Possibility of standardization
Can the process be clearly described in steps? (If so – there is a good chance it can be automated.)
It's worth asking the team
Sometimes employees know best what burdens them. Just ask:
"What tasks do you do every day, and are you tired of them already?"
"What slows you down the most in your work?"
"If you could automate one thing – what would it be?"
Often, more comes out of such a conversation than from a week of analysis. And by the way – you build engagement within the team.
Set priorities
After collecting potential areas, don't jump into everything at once. Choose 1–2 things that:
have a significant impact (time, costs, quality),
are relatively easy to implement,
do not require a change of the entire company structure.
