First: Don't keep it a secret

If you are planning automation and nobody in the company knows about it – it's a recipe for stress, gossip, and resistance.

People start to wonder:

"Will this replace me?",

"Will they change my system again?",

"Will everything be on my shoulders now?"

That’s why it’s worth being open from the start:

• Why are we doing this? (e.g., to shorten customer service time)

• What do we expect? (e.g., less manual work, more time for important things)

• What will the phases be? (so people aren’t afraid of a "revolution overnight")

Operational Team – Work with people, not for them

It’s very simple: if you want employees to use the tool – invite them to co-create it.

In practice, this means:

• ask about their needs, frustrations, ideas,

• let them test the tools before implementation,

• show that automation is not meant to take their jobs, but to make it easier.

People who had a say in choosing the solution are much more likely to use it.

Management – You need the green light

Without the commitment of the owner or management, nothing will move forward. Even if you have a great plan and enthusiasm in the team – you need:

• a budget (even a small one),

• employees' time for testing and implementation,

• openness to change.

It’s good if management understands the benefits, but also knows the potential risks and limitations. Don’t promise "golden mountains", but show specifics:

• what we want to improve,

• how much time/people it currently costs,

• what we can gain through automation.

This often convinces better than general slogans about "innovation".

Opponents and skeptics – how to tame them?

In every company, there will be people who say:

• "We've always done it this way and it worked"

• "A new system? Something will go wrong again"

• "It's just extra work"

Don't ignore them. Often, these are the people who know the processes best – and have valuable insights.

What can you do?

• Invite them to test the new solution first.

• Give them space for criticism – but constructive.

• Show quick results (e.g., time saved over a week).

They don't have to like the changes right away. But if they see that it works, resistance usually disappears.

Education – in small steps

Not everyone needs to understand how AI works or what an API is. But it’s worth taking care of basic education:

• short trainings on using new tools,

• simple materials (video, PDF),

• the ability to ask questions and get support.

The less uncertainty and chaos – the greater the chance that people will actually start using automation.
