How to conduct employee training on AI and Automation?

Implementing AI and automation is not just a matter of tools. It is a change in the approach to work. And while it may seem that "everything is already set up", true implementation begins when people start using the new solutions on a daily basis. For this to succeed, you need to take care of two things: training on how to use them and changing the mindset about work, technology, and responsibility.

1. Training is not just “one webinar to start”

A common mistake: the company conducts a 1-hour training session, shows the system, and says “That's it, good luck!”.

The thing is:

  • people need time to get used to it,

  • not everyone will understand everything right away,

  • and questions arise only during actual use.

Good training is a process, not a one-time event.

How to organize it?

  • Start – a short introduction: what it is, why we are doing it, what is changing.

  • Demo – showing step by step how the new system or automation works.

  • Exercises – let employees perform real tasks without pressure.

  • FAQ / Q&A sessions – provide space for questions. Even the “silly” ones.

  • Support – someone from the team or an external specialist should be available for the first few weeks.

2. Not everyone absorbs knowledge in the same way

People have different learning styles. Some prefer to watch, others read, and some need to “touch” things. Therefore, it is worth:

  • recording short instructional videos (e.g. Loom, unlisted YouTube),

  • preparing a simple step-by-step PDF guide,

  • creating a “knowledge base” (e.g. Notion, Google Docs),

  • having someone available to answer questions in real time.

It’s not about turning it into an academy – just ensuring everyone has quick access to help when they don’t know something.

3. Education is also a change in attitude

Technology is not just a tool. It’s also a new way of looking at work. And this is where something more important than training begins: changing the work culture.

In a company that wants to utilize AI and automation, it’s essential to promote attitudes of:

  • proactivity – “if something can be simplified, try to do it,”

  • openness to testing – “something may not work perfectly, but it’s worth checking,”

  • responsibility – “this automation supports me, but I am responsible for the outcome,”

  • continuous improvement – “it works, but we can do it even better.”

4. AI does not replace – AI supports

It's important to clearly communicate that automation and AI are not meant to replace anyone.

They are meant to:

  • relieve people from boring tasks,

  • provide more space for creative and strategic work,

  • accelerate decision-making.

Good implementation of AI makes people feel relief, not threat.

5. Celebrate small successes

Implementing changes is hard work. Therefore, it’s worth appreciating small progress:

  • someone learned to use a new tool – praise it,

  • a new process saved 2 hours of work – show this to the team,

  • someone submitted an improvement idea – express gratitude and recognition.

People adapt to change more quickly when they see that it makes sense and brings tangible results.
