How to analyze data and available resources when implementing automation and AI in the company?

You have already identified the processes that are worth automating. Great! Now it's time to take a look at what you actually have – because automation (especially AI) does not work in a vacuum. It needs data, tools, and people who will collaborate with it. Before you move on, you need to answer one simple question: Does your company have what it takes to build automation?

We start with data

AI and automation thrive on data. Literally. The better the data, the better the results.

Take a quick look at:

  • Where do you store the data? (Excel? CRM? Email? In an employee's mind?)

  • Is it organized? (e.g. correct formats, no duplicates)

  • Is it up to date? (for example, are the contact details of clients still valid?)

  • Do you have digital and automatable access to the data? (e.g. exports, API, integrations)

If your data is scattered across different systems or saved "on a piece of paper in a drawer" – it needs to be organized first. Because AI will not guess what you meant.

What data is actually needed?

Contrary to appearances – you don’t need to have everything at once. Most often, the following are sufficient:

  • client contact information (e.g. for email automation),

  • order history (e.g. for product recommendations),

  • data from forms (e.g. for client onboarding),

  • financial data (e.g. for reporting),

  • descriptions of procedures (e.g. for building chatbots or automated responses).

Data does not need to be perfect. It’s important that they are good enough to do something with. AI does not need perfection – it needs direction.

Overview of available tools

Now take a look at the tools you are already using. Sometimes you don’t need to buy anything – just use what you already have better.

Check:

  • Do you have a CRM (e.g. HubSpot, Pipedrive, Bitrix)?

  • Are you using an invoicing system that has an API or integrations (e.g. Fakturownia, iFirma)?

  • Do you use Excel, Google Sheets, Notion, Trello, Asana…?

  • Does your online store have built-in automation tools?

  • Do you have any data in the cloud that can be “connected” to other systems?

Tools that integrate well will be your allies. The fewer closed, isolated systems – the better.

Who in the company will manage this?

This is an important point that many companies overlook. Automation is not just about tools and data – it’s also about the people who will work with it.

Consider:

  • Who will be the “owner” of the process?

  • Does anyone on the team have a grasp of technology – at least at a basic level?

  • Who will ensure that the automation works correctly and doesn’t need fixing?

  • Do you have the time and resources to test and monitor the implementation?

You don’t need an entire IT department. Often, one competent person + an outside consultant is enough. But someone must oversee this.

Company readiness assessment – mini checklist

Here’s a short set of questions to help you assess whether you are ready for the next step:

  • Do you have at least one process described step by step?

  • Are the necessary data available and digital?

  • Can your tools be connected with others (e.g. via API, Zapier, Make)?

  • Is there someone on your team who understands what will happen (or can learn)?

  • Are you willing to spend some time testing and refining the automation?

If most of the answers are “yes” – congratulations, you are ready to move forward.
