Rule number 1: The tool should fit the process, not the other way around
This is a common mistake: a company buys a "cool" tool and then tries to force its processes to fit it. It usually ends in frustration.
Therefore:
first describe the process you want to automate,
then look for a tool that specifically supports this use case,
do not fall for buzzwords like "all-in-one" – tools that do one thing well are better.
What types of automation and AI tools are there?
Fortunately, today you don't have to reinvent the wheel. There are plenty of ready-made platforms you can use right away – without writing code, hiring a programmer, or investing tens of thousands of dollars.
Below is a breakdown into several main categories:
Process automation tools (no-code/low-code)
Zapier – automates data flow between applications (e.g., Gmail → Google Sheets → Slack).
Make (formerly Integromat) – similar to Zapier but offers more control and advanced features.
n8n – open source, for more complex automations.
Power Automate – a Microsoft solution that integrates well with Microsoft 365.
These tools allow you to "connect the dots" – that is, integrate existing systems and applications without coding.
AI-based tools
ChatGPT – content generation, document analysis, email writing, marketing ideas.
Claude / Gemini / Copilot – alternatives to ChatGPT, depending on your needs.
Grammarly, Wordtune – AI editors for the English language.
Tidio, Intercom, LiveChat – chatbots and customer service automation.
Beautiful.ai, Tome, SlidesAI – creating presentations using AI.
Sensible, Docugami – extracting data from documents.
BI and reporting tools

How to choose the best tool for your company?
Ask yourself (or the provider) a few simple questions:
Does this tool integrate with what I am already using?
Is it easy to implement and operate by my team?
Can I start from a free or trial version?
Does it support my specific process, or is it just "theoretically everything"?
If needed, can I find support or a specialist to help?
The rule is simple: it’s better to use a simple tool well than a complicated one poorly.
Connections between tools – integrations
One of the most important buzzwords in the world of automation is: integrations. It’s about making the tools "talk" to each other.
Does the CRM connect with your invoicing system?
Can the chatbot send customer data to Google Sheets?
Does the form on the site go directly to the CRM or to an email?
Check whether the tools offer:
API (that is, the ability to connect with other systems),
ready-made integrations with platforms like Zapier / Make,
the ability to export/import data in CSV format.
This is often more important than the tool's functionality itself.
Start small – but wisely
You don’t have to implement five systems right away. Start with one specific use case:
e.g., automating client onboarding,
or automatic payment reminders,
or a bot responding to frequently asked questions on the site.
Do it well, test it, see the results. Only then add more elements.
